Operations & suppliers

Supplier and operations automation for UAE companies

Suppliers chased, orders placed, documents filed.

Operations runs on follow-ups: a late quote, a delivery date nobody confirmed, a delivery note waiting to be typed in. Our AI does the chasing and the data entry, and you approve every purchase order before it leaves.

The problem

The work that eats your team's week

This is the week of your operations or purchasing coordinator, and often of the owner too. Supplier conversations are spread across email and WhatsApp, documents arrive as PDFs, scans and phone photos, and the stock sheet is only as current as the last person who touched it.

  1. 01

Every quote and delivery date needs chasing.

  2. 02

Invoices and delivery notes are typed in by hand.

  3. 03

Stock runs out because nobody placed the order.

Once the routine work is automated, overdue answers get chased without anyone picking up the phone, and each reply is recorded against the right order. Documents become rows in your sheet or ERP and are filed where you can find them. Your coordinator spends the day solving problems, not typing.

A typical week

A week in operations, with us

Green runs on its own. Gold waits for your approval. Amber stays with a person.

  • Automatic
  • Your approval
  1. Monday

    Overdue answers chased before ten

Every quote, delivery date and document that is past due gets a polite reminder by email or WhatsApp. Suppliers who still have not replied after the second reminder appear on your list.

    Automatic
  2. Tuesday

A pile of paperwork becomes data

Delivery notes and supplier invoices that came in overnight are read, entered into your system and filed. One blurry scan the AI was unsure about waits for a person to check.

    Your approval
  3. Wednesday

A reorder before the shelf is empty

Stock of a fast-moving item drops below your reorder level. A draft purchase order appears, addressed to the supplier you normally use. You approve it, and the delivery date goes on the tracker.

    Your approval
  4. Thursday

Goods out, without the phone calls

Orders ready to ship have courier pickups booked and tracking sent to customers. A failed delivery is chased the same day, and your tools agree with each other because every change was copied across.

FAQ

Questions about this department

Can the AI read scanned and photographed documents?

It reads PDFs, scans and phone photos, including documents in Arabic. Where a page is unclear or a figure looks wrong, it asks a person to check instead of guessing.

Will suppliers be annoyed by automatic reminders?

The reminders use wording you approve, sound like your team and stop the moment the supplier answers. You set how often they go out and when a case comes back to you.

We do not have an ERP. Can you still help?

Of course. Plenty of companies run purchasing from a shared spreadsheet and an inbox. We work with what you have, whether that is Google Sheets, Excel or an accounting tool, and keep it tidy.

Does the AI send orders to suppliers by itself?

Never without you. It prepares every purchase order from your normal supplier and order sizes, and nothing is sent until you approve it. After that it tracks the delivery date and reminds the supplier if it slips.
